Privacy Policy
Last updated: October 19, 2026
SportSched ("SportSched", "we", "us") is operated by [OPERATOR LEGAL NAME], located in [CITY, PROVINCE], Canada. This policy explains what information the SportSched mobile app and website collect, why we collect it, and the choices you have. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Who SportSched is for
SportSched is for parents and guardians aged 18 or older. It is not meant to be used by children. Parents may add limited information about their children (described below) so that the app can show those children's schedules. By adding a child, you confirm that you are that child's parent or legal guardian, or that you have their permission.
2. Information we collect
Information you give us
| Information | Why we use it |
|---|---|
| Account details: name, email address, and optionally phone number and profile photo | To create and secure your account, and to contact you about it |
| Your area: province, region and city | To show leagues, teams and arenas near you |
| Home address (optional), including its map coordinates and time zone | To show events in your local time and estimate travel to arenas and fields |
| Children's details: first name (or nickname), birth year, and city | To match each child to the right age group and show their schedule |
| Registrations: sport, league, level, team, age group and season for each child | To build your family's schedule |
| Events you add yourself, such as tournaments or lessons | To include them in your calendar |
| Area requests: the province, town, sport, league website and any notes you send when you ask us to add your area | To expand SportSched to new communities |
| Messages you send to our support team | To answer your questions |
We do not ask for children's full names, photos, schools or exact birth dates. Please don't enter more than you need to.
Information collected automatically
- Sign-in information. If you sign in with Google or Apple, we receive your name and email address from that provider. If you use Apple's "Hide My Email", we receive only the relay address.
- Notification token. If you allow notifications, we store a device token so that we can send you reminders and schedule alerts.
- Basic technical data. Our service providers may record device type, operating system, app version, IP address and error logs to keep the service secure and working.
Phone permissions
- Calendar (optional). If you turn on calendar sync, SportSched creates a "SportSched" calendar on your phone and adds your family's events to it. We only read and change events in that calendar. Your other calendar entries are not sent to us.
- Notifications (optional). These are used for reminders and schedule changes.
You can turn off either permission at any time in your phone's settings.
3. Private calendar link
If you turn on the calendar link feature, we create a private web address (a calendar "feed") that contains your children's schedule. Anyone who has this link can view the schedule, so share it only with people you trust. You can turn the link off from the app, and deleting your account turns it off too.
4. How we share information
We do not sell or rent your personal information, and we do not use it for advertising. We share it only:
- With service providers that run SportSched for us:
- Google Firebase (Google LLC) for account sign-in, data storage, notifications and web hosting
- Apple and Google, if you choose to sign in with them
- OpenStreetMap's Nominatim service, which turns the address or place text you type into map coordinates. Only the search text is sent, not your name or account.
- When the law requires it, for example to respond to a valid court order, or to protect someone's safety.
- If SportSched is sold or merged. Your information would move to the new owner, who must keep protecting it as this policy describes. We would notify you first.
5. Where your information is stored
Your information is stored on Google Cloud servers located in [FIRESTORE REGION, e.g. "the United States" or "Montréal, Canada"]. If it is stored or processed outside Canada, the laws of that country, including laws that allow government access, may apply to it.
6. How long we keep it
We keep your information while your account is open. When you delete your account, we delete your profile, children, registrations, events you added and your calendar link right away. Copies in our providers' backups are removed within [30] days. We may keep a minimal record when the law requires it.
7. Security
Information is encrypted while it travels between your device and our servers, and access to it is limited by security rules. No system is perfectly secure, but we work to protect your information and will notify you and the Privacy Commissioner of Canada if a breach creates a real risk of significant harm.
8. Your choices and rights
- See and correct: most of your information can be viewed and edited in the app. You can also ask us for a copy of what we hold about you.
- Delete: you can delete your account at any time in the app (Settings → My Account → Profile → Delete account), or see how to delete your account.
- Withdraw consent: turn off calendar sync, notifications or the calendar link at any time.
- Complain: if you're not happy with how we've handled your information, contact us first. You may also contact the Office of the Privacy Commissioner of Canada.
9. Changes to this policy
If we make important changes, we'll tell you in the app or by email before they take effect. The date at the top shows when this policy was last updated.
